FAQ

  1. When and where is the 2025 AKMG Cruise Convention scheduled?
June 30th — July 4th, 2025, aboard Royal Caribbean's Cruise ship, the UTOPIA of the Seas.
  2. Where does the cruise start from and where does it go?
The cruise starts from Cape Canaveral, Florida (Near Orlando) and goes to Bahamas, Cocoa Cay and back.
  3. What is the cost of registration?
See above, in the "Course Fees" section, for details. The registration fee is non-refundable, except in cases where your visa does not come through.
  4. What is the cost of the cruise?
See the "Cruise Pricing" tab above. Pricing is per-person and based on double occupancy (Two people in a room)
  5. What is included and what is NOT included?
    The cruise includes:
    • 4 Nights of accommodation
    • All meals during the entire cruise, as well as the open buffet
    • Onboard entertainment on the ship
    • Some dishes prepared in North Indian and Kerala style.
    • Coffee, tea, and juice
    The cruise does NOT include:
    • Alcohol or other special beverages
    • Bahamas onshore excursions
    • Wi-Fi connection
  6. How do I book?
You may click the "Register online" tab above and fill out the registration form. An agent at Continuing Education will contact you with further information to assist you.
  7. When should I book?
The earlier you book, the better. The contract AKMG has with the cruise agency has a total of 200 rooms of various categories. Once those rooms are booked, the current market rate at time of booking will apply. (This will likely be higher than the contracted rates!)
  8. When is the latest I can book?
While you could potentially book as soon as a week prior to sailing, it is strongly recommended to book prior to April 10th, 2025, since after that date the contracted group price for this cruise will expire, and there may not be any available staterooms at all.
  9. What is the required deposit to be paid at the time of booking?
The deposit is $100 per-person (a minimum of $200 per booking). (Unless you are registering after April 10th, 2025, in which case the full price of the cruise will be due at the time of booking)
  10. Is the deposit refundable?
The deposit is refundable for all of the agency's contracted rates. The only way the deposit would not be refundable is if you were to book after April 10th, 2025, or if you book a nonrefundable rate outside of the allotted group space.
  11. When is the rest of the cruise payment due?
The remainder of the payment is due no later than April 10th, 2025.
  12. What if I see a SALE price for this cruise that is lower than what I paid?
You may contact the cruise agency while the sale is ongoing and they will work with the cruise operators to match that price. This only applies before final payment is due (April 10th, 2025) and only as long as you are not booked with a special non-refundable fare (Which would be outside the AKMG group allotment). Note that this is a request to the cruise line and is not guaranteed in all cases.
  13. What happens if I have to cancel?
Groups/individuals may be cancelled prior to April 10th, 2025 with no penalties (Unless you have booked with a special non-refundable fare, which would be outside the AKMG group allotment)
    • After April 17th, you will incur a penalty of 50% of the total fare. (Meaning you get 50% of your money back)
    • After May 1st, the penalty increases to 75% of total fare.
    • After May 31st, you will not receive any refund except for the taxes and fees you paid.
  14. Do I need to purchase cruise insurance?
Travel insurance is not required but is recommended. Insurance for American citizens can be purchased through the travel agency. Insurance for Indian and other citizens will not be available to purchase through the cruise agency, though we strongly recommend purchasing it on your own.
  15. Should I have health insurance for the whole trip to the USA?
Yes, Health insurance is highly recommended since medical costs in the USA are very high.
  16. What time do I need to be at the port on sailing day?
Boarding time is 12-3pm on June 30th, 2025. You must be at the port by at least 12:00 Noon.
  17. Do I need a passport?
Yes, you must have a valid passport with an expiry date more than 6 months after the date of departure (July 4th, 2025). So your passport must expire AFTER January 5th 2026!
  18. When should I apply for a USA visit visa?
You should apply for the visa ASAP. Your initial interview date may be further out initially, but you may get an earlier interview date since the US embassies are in the process of providing faster service per a USA Government report. You may also expedite the Visa processing by applying in neighboring countries such as Malaysia, Thailand, etc. The various consulates in India have different wait times as well, so please research that before applying.
  19. How do I get the letter of invitation for the Visa, and can I get it without booking a cabin?
On the registration form, select that you need a letter of invitation. We do require you to hold a cabin before we issue letters of invitation, but you can cancel your cabin prior to the penalty period if your visa is not approved for any reason.
  20. Where can I stay when I arrive the day before sailing?
The Cruise agency can recommend and book you a hotel. This will be booked separately and paid by each participant depending on his/her needs. When registering for this course, you will have the option of requesting hotel recommendations.
  21. Which airport should I fly to?
The closest international airport to the cruise terminal is Orlando, Florida (Airport Code, MCO). It is 45 miles from the Cruise Terminal. The next closest international airport is Orlando Sanford International Airport (SFB). It is 65 miles from the cruise port. If you are coming from outside the USA/Cananda, you will want to come in at least 1 or 2 days before the start of the cruise regardless of which airport you use. The agent can assist you with hotel, transfers to hotel, and transfers to the port (cost is additional).
  22. How do I get from the hotel to the Cruise Terminal/Sea Port?
Most hotels will have transport vehicles to the cruise terminal. If the hotel does not offer transit to the cruise terminal, the agency can arrange the transportation for you at an additional cost. You can also take a Taxi/Uber if you prefer.
  23. Can I stay there after the cruise?
Yes. The cruise agency can assist with this. Hotel and transport bookings will have to be separately booked and paid by each participant depending on his/her needs.
  24. Do I need a visa for Bahamas and Cocoa Cay?
Indian Nationals holding a valid MRV (Multi Re-Entry Visa for US, UK, or Canada) can now visit Bahamas without requiring any separate visa for Bahamas or visa waiver. The MRV for the UK, US or Canada must be valid for 45 days after the end of your stay. Please keep in mind that while a visa is not required, your passport must be valid for six months after the day you exit the country and have one blank visa page. You should also keep proof of your return flights. (More information here)
  25. Will we be the only passengers aboard the ship?
No, the cruise ship can accommodate over 5,500 passengers.
  26. What to bring on the cruise?
Pack like you would for any resort. Cruise vacations are casual by day, whether you're on the ship or on shore. In the evening, the dress code can vary. Cruises usually have one "Formal night", though you can opt out of it by dining at the buffet if you wish. Attire is dictated by occasion.
  27. What is NOT allowed to bring on the cruise?
    • No hair dryers
    • No steamers or irons
    • No hot plates
    • No knives or scissors
    • No weapons
    • No hookahs
    • No extension cords
    • No perishable foods
    • No more than two bottles of wine or champagne per cabin. No beer, liquor, or boxed wine.
  28. What type of cabin should I book?
It depends on your needs and budget. Balcony staterooms are the most popular and are recommended by the cruise agency for their ability to get fresh air. Ocean View staterooms have a window, but no balcony. These are cheaper than balcony staterooms (by a few hundred dollars) and are a good "sweet spot" for those looking to save some money but still have access to natural light. There are also inside staterooms, which are the cheapest and have no window. For those looking for a more premium, luxurious experience, the cruise agency have contracted rates for a variety of Suites, ranging from Junior Suite to Crown Loft Suite, all with varying benefits and sizes.
  29. How many people go in a cabin?
Most cabins in the AKMG group allotment are for two passengers. While it is possible to have three or four people in a room, it can be quite cramped and it is strongly recommended to have only two people per room, since that is what they are designed to accommodate, and booking a triple/quad can increase the price substantially.
  30. Is there a gymnasium on the ship?
Yes. It is open from 6:00 AM to Midnight and offers guests a fully equipped fitness center with free weights, machines, treadmills and ellipticals. In the locker room, there is also a sauna and steam room.
  31. Is there a casino on the ship?
Yes. Featuring around 300 slot machines and 20 gaming tables, it offers Video Poker, Blackjack, Craps, Roulette, and Caribbean Stud Poker. Guests using the casino can pay either with cash or using their Sea Pass card.
  32. Does the ship have Wi-Fi?
Yes, the typical fee is around $21 per-device, per-day. Continuing Education is negotiating to get a bulk discounted rate, which we will post when finalized.
  33. Does the ship have aerobic, yoga, and other classes?
Yes, classes are available. Some are complimentary, and some charge a fee.
  34. Will AKMG attendees have a dedicated area in the dining room for lunch and dinner?
Yes, there will be a separate dedicated area for AKMG attendees only. Note that it is required to book your room through the cruise agency (Continuing Education, Inc./University at Sea) in order to gain access to AKMG-only areas and events.
  35. What can I do if I get seasick (motion sickness)?
Modern cruises manage to avoid excessive motion by navigating around harsh weather, using high-tech stabilizers, and choosing itineraries with calm water. Plus, the large size of modern cruise ships minimizes the rocking effect. However, if you do get motion sickness, you will almost certainly be able to obtain a patch or pills onboard at the Guest Services desk, which will minimize the symptoms. If you are prone to motion sickness, it is recommended that you bring your own medications, just in case.
  36. Are there medical services on the ship?
Yes, every cruise ship has a well-equipped medical facility and staff to handle most onboard health issues.
  37. Can I get accommodation for a special diet?
Royal Caribbean can accommodate dietary needs such as food allergies, gluten-free, kosher, low-fat, and low-sodium. A variety of vegetarian meals are available on all menus in the Main Dining Room and Windjammer Café every day, and vegan menus are available on request in the main dining room. You do not need to make a special request for these meals. For lactose-free/soy milk and kosher meals, the request must be made in advance, so be sure to select your dietary restrictions when filling out the registration form. See Royal Caribbean Dietary Restrictions Info
  38. Will I be charged a fee for using my credit or debit card for booking?
The agency or cruise line will not charge you any fees, however we cannot guarantee that your bank will not impose its own fee, depending on the type of card, the bank, etc. Please check with your bank before you book to be sure.
  39. Why can't I do the booking through Royal Caribbean directly?
Booking as a group allows the travel agency to get us our group amenities, such as the conference rooms, theater, dedicated dining area, complimentary welcome party with free alcohol, and more. The agency also handles all the registration process for AKMG with dedicated staff. The rates on Continuing Education, Inc.'s website will always be as good or better than a legitimate rate offered directly by the cruise line, though they may appear higher on the website due to the agency's rates including taxes and port fees, which Royal Caribbean's website doesn't add until the end of the booking process.
  40. Do I need to fill out any forms to get the CME hours?
Yes, you will need to fill out an evaluation and attestation after attending the CME. We highly recommend completing this before departing the ship.
  41. When will I get my CME Credits?
Within one week of the end of the cruise. If you do not receive yours, you may contact the cruise agency.

PORTS OF CALL

Orlando (Port Canaveral), Florida

Let's be direct: Port Canaveral itself is a working port, not a destination you explore on foot. Its true value is as a gateway to some of Central Florida’s most iconic, and distinctly different, attractions. The decision you make here will define your day.

The most compelling and convenient choice is the Kennedy Space Center Visitor Complex, located just minutes away. This is not a simple museum; it's a world-class tribute to human ingenuity. Standing beneath the colossal Saturn V rocket, the most powerful ever built, is a genuinely humbling experience. The Space Shuttle Atlantis exhibit is equally profound, offering an up-close look at the legendary orbiter. For anyone with even a passing interest in science or history, this is an essential, full-day experience that is unique to this specific port.

Of course, Orlando's theme parks loom large, about a 45- to 60-minute drive inland. A day trip is certainly feasible, but it requires precise planning. You’ll need to choose one park—be it a dive into the magic of Disney or the thrills of Universal—and accept that you'll be on a tight schedule. It’s a fantastic option if a specific park is a must-do, but be prepared for a long, high-energy day with significant travel time.

For a more relaxed alternative, embrace the local 'Space Coast' culture. Nearby Cocoa Beach offers a classic Florida beach town vibe, complete with the iconic Ron Jon Surf Shop. For nature lovers, a guided kayak tour through the Banana River or Merritt Island National Wildlife Refuge can reveal manatees and diverse birdlife, offering a peaceful counterpoint to the region's high-tech attractions.

Nassau, Bahamas

Nassau is a bustling hub, and your best day here requires a plan to navigate beyond the immediate, often-crowded port area. While it has its share of tourist traps, genuine Bahamian character is well within reach for those who know where to look.

For a dose of history, a short walk leads to the Queen's Staircase, a remarkable 66-step passage carved from solid limestone by enslaved people in the 18th century. It ascends to Fort Fincastle, which offers commanding views of the island. For a more refined local taste, the John Watling's Distillery on the historic Buena Vista Estate offers tours and tastings in a setting far removed from the downtown hustle.

If a classic beach day is your priority, we advise looking beyond the nearest options. A taxi to the quieter sands of Cable Beach or, for a more curated experience, a day pass to one of the major resorts on Paradise Island will provide the tranquil, turquoise-water escape you envision. These passes grant access to pristine private beaches and high-quality amenities, turning a potentially hectic port day into a truly relaxing one.

For the most authentic local flavor, take a taxi to Arawak Cay (known as 'The Fish Fry'). This is where Bahamians go for fresh conch salad, fried snapper, and a vibrant, casual atmosphere. It’s a world away from the port-side buffets and offers a true taste of the islands.

Coco Cay, Bahamas

Let's be clear: Coco Cay is not a port for cultural immersion; it's a private island meticulously engineered for a perfect day of sun and fun. Think of it as a high-end water park and beach club rolled into one, accessible right off the ship. The island is divided into distinct zones, from the high-energy Thrill Waterpark with its impressive slides to the sprawling Oasis Lagoon, one of the largest freshwater pools in the Caribbean.

For those seeking relaxation, several white-sand beaches offer a classic tropical escape. If you're looking for a more exclusive, serene experience, the Coco Beach Club provides a quieter atmosphere with an infinity pool and overwater cabanas, available for an additional fee. While you won't find local markets or historical sites here, Coco Cay delivers exactly what it promises: a seamless, high-quality day of resort-style leisure and aquatic adventure.

Cruise pricing is presented per person, based double occupancy of the stateroom, following industry practice. Pricing presented above is listed accordingly to allow easy comparison for the stateroom categories displayed. Our agents always provide 'total cost' pricing disclosing all particulars before you make any commitment.

COMPETITIVE PRICING PROMISE: We will match any price currently offered by the cruise line; this promise includes their short-term, promotional rates. As a value-added organizer of meetings at sea, however, we do not seek to compete with 'cruise discounters,' 'travel clubs,' or 'distressed inventory' sales operations.
PRICING SUBJECT TO CHANGE: Fares displayed above are subject to availabilty and to change until reserved with a deposit or full payment. While the fares listed can sell out (i.e. are "subject to availability"), they generally remain available until 90 days before sailing, at which time they convert to typically higher, market rates. Market Rates offered directly by the cruise line and quoted by our agents are also subject to availability and to change at any time prior to depositing on your stateroom. Those rates are capacity and revenue controlled and can be withdrawn without notice.
CANCELLATION PENALTY POLICY WILL APPLY: We recommend Travel Insurance to protect your investment from unexpected, late cancellations.
Cruise Cancellation Policy:Late Cancellation policies vary by cruise line, itinerary and length of cruise. When reserving your stateroom, please congirm the policy applicable to this cruise with one of our agents.
Course Fee Cancellation Policy: 30+ days before sailing date - 75% Refund ; 7-29 days before sailing date - 50% Refund; Less than 7 days before sailing date - No Refund
FUEL SUPPLEMENT: During periods of unusual oil price volatility, cruiselines may implement a fuel surcharge at any time prior to sailing.

Why Protect your Trip?

Whether you’re planning your next trip or you recently booked one, travel insurance can help smooth over many unexpected travel glitches—while putting your mind at ease, knowing you’re off the hook for covered expenses that could arise from them.

Allianz Travel Insurance plans can provide you benefits and professional support when a covered situation comes up before or during your trip. The following examples may qualify for benefits:

  • Cancelling your trip after unexpectedly becoming too sick to travel
  • Taking care of a sick or injured traveling companion
  • Having to end your trip early due to a family emergency
  • Dealing with a flight delay or cancellation
  • Needing to buy personal items if your luggage is lost or stolen
  • Missing your cruise departure after a covered flight delay

You also can contact our travel protection partner Allianz Global Assistance’s 24/7, award-winning customer service for on-the-go assistance with issues like a medical emergency, replacing your lost passport, or making reservations around the world. Specific plan benefits may vary. Please review your plan details for more information.

What Can Travel Insurance Help Protect?

Allianz Travel Insurance plans can protect you before and during your trip—keeping you, your loved ones, and your travel budget safer. Benefits vary by plan, and these are brief descriptions. Please read your plan documents for details.

TRIP CANCELLATION

Reimburses your prepaid, non-refundable travel expenses if you need to cancel your trip due to a covered reason, such as you, a family member, or traveling companion experiencing a covered illness or injury. Examples include:

  • A doctor says you or a traveling companion is too sick to fly
  • Your parent or child requires hospitalization
  • You need to attend the birth of a family member’s child
  • You have a traffic accident (not breakdown) on the way to the airport
  • A storm shuts down your airport for 24 hours or more

TRIP INTERRUPTION

Reimburses your unused, non-refundable travel expenses and increased transportation costs during your trip if you have to return home early due to a covered reason, for instance when a family member has a qualifying medical emergency and needs your care. Examples include:

  • You have a covered illness or injury and a doctor says you must return home
  • A family member has a qualifying injury and needs your care
  • A covered emergency, like a fire or flood, makes your home uninhabitable

TRAVEL DELAY

If you have a covered delay while traveling, travel insurance can reimburse you for meals, accommodations, and transportation expenses when your trip is delayed for a minimum number of consecutive hours for a covered reason. Minimum number of hours varies by plan.

EMERGENCY MEDICAL AND DENTAL CARE

Reimburses your expenses related to covered medical and dental emergencies* that might occur on your trip. This benefit can be especially helpful if you have a covered emergency outside the United States, as most health insurance policies won’t cover you outside the country. Examples include:

  • You slip and break your ankle while sightseeing
  • You get food poisoning while sampling the local cuisine
  • You lose a filling and need immediate dental treatment*

*A sublimit and maximum apply for this benefit. Check your plan documents for details.

EMERGENCY MEDICAL TRANSPORTATION

Arranges and pays for medically necessary transportation following a covered injury or illness to the nearest appropriate medical facility to receive care and get you home after treatment.

BAGGAGE LOSS, DAMAGE, or THEFT

Reimburses the replacement of your lost, damaged, or stolen luggage and personal items while traveling.

BAGGAGE DELAY

Reimburses essential items purchased during your trip if your baggage is delayed for a minimum number of hours (varies by plan).

CHANGE FEE

Reimburses fees if you need to change your flight itinerary due to a covered reason.

24-HOUR ASSISTANCE

Provides around-the-clock support during your trip. Allianz Global Assistance’s staff of multilingual problem solvers can help you with medical, legal, and travel-related emergencies whenever they happen. Medical assistance may include, but is not limited to:

  • Medical triage with referrals to local prescreened medical providers
  • Ongoing medical monitoring
  • Payment guarantee
